Definition:
The Program Assistant is responsible for assisting Support Supervisor II
with the initial and reappointment credentialing process related to the
medical staff appointment at the University of Washington Academic Medical
Centers, University of Washington Medical Center, Harborview Medical Center,
Seattle Cancer Care Alliance, University of Washington Primary Care Network,
and University of Washington Physicians. This position requires the ability
to communicate with a variety of institutions and their staff, attention to
detail, organization skills and respect for confidentiality of information.
The Program Assistant will assist with various responsibilities related to
processing, monitoring, and maintaining the credentialing systems for the
Academic Medical Centers system.
General Duties:

Assist with the medical staff privileging
initial and reappointment process for the School of Medicine. Responsible
for compiling appropriate materials for the medical staff initial and
reappointment application packets and the ensuring that the packets are
sent to the physicians in a timely fashion. Monitor the process, and
follow-up on applications not received within a specified time period.

Review and verify for completeness,
information provided in the application materials and in verification
letters. Follow up on discrepancies.

Responsible for evaluating and determining
the appropriate response to verification requests from outside entities,
such as other medical institutions, and health plans, on behalf of the
School of Medicine, University of Washington Medical Center and Harborview
Medical Center.

Maintain master files for all medical
staff members. Perform database entry of initial and reappointment
applications, certifications, letters of verification, and all other
materials related to medical staff reappointments. File documents in the
master files as necessary.

Serve as a contact regarding Joint
Commission, NCQA, DOH, privileging and medical center policies and
procedures of the medical staff initial and reappointment process; field
inquiries via phone, mail, and electronic mail.

Assist with opening and distribution of
mail as necessary.

Assist with special projects and other
clerical and data entry duties as assigned.
Minimum Qualifications: Experience
in hospital medical staff privileging or health plan credentialing. High
School graduation or GED certificate. Two years of increasing experience in
word processing, spreadsheet and database applications and internet or
equivalent education/experience.
Additional Qualifications: Previous
experience on IBM or IBM compatible PC, Microsoft NT and data entry
experience. Demonstrated proficiency and experience In Word and Access.
Experience compiling information from a variety of sources. Previous
experience to include prioritizing work, meeting deadlines, ability to
perform under pressure with attention to detail. Excellent organizational
skills.
Desired Qualifications:
CPCS/CPMSM
Certification and familiarity with NCQA, Joint Commission and DOH
practitioner standards.

50 WPM keyboarding

Summary: Under
general supervision, the Administrative Specialist provides high-level
administrative assistance to the Medical Director and
the Office of the Medical Director.
Key Functions Include:

Serve as principal communication liaison to the Medical Director.
Develop and implement communication strategies supporting the needs of the
Medical Director. Demonstrate strong working knowledge of the
Medical Director’s operational areas of responsibility. Promote and
contribute to communication and teambuilding. Form productive
working relationships with co-workers. Communicate clearly,

materials and information while maintaining a high level of discretion and

Maintain Medical Director’s calendar, travel arrangements, and oversee the

speakers, reserving room and submitting catering and A / V request,
coordinating meeting agendas; preparing meeting materials; recording and
composing of minutes; following-up on action items as delegated;
maintaining committee permanent records.

Prepare and / or transcribe correspondence, reports and presentation
materials. Process incoming and outgoing mail. Order and maintain office
supplies, organization and office appearance.

Skillfully refer internal and external inquiries, comments and / or
complaints to the appropriate HMC program, service or resources. Have a
good understanding of the medical center’s departments and services.

Develop, organize, maintain and retrieve information / permanent records
from multi-disciplinary filing systems and databases.
Education, Experience & Skills
-
Experience
providing high level administrative support in a complex environment.
-
Prefer experience
in medical staff, hospital administration or similar.

Excellent computer
skills (MS Office) and customer service orientation.

Essential Activities

appropriate resources.

Presents findings to Medical Director and Quality Assurance
committee for review.

Performs provider orientation and consultation.
Required Qualifications
-
One or more years experience credentialing professional
providers within a healthcare organization.

Professional level verbal and written communication skills
with experience communicating with stakeholders.

Intermediate database experience, such as Microsoft Access.
-
Intermediate word processing experience, such as Microsoft
Word.
-
Intermediate use of spreadsheet software, such as Microsoft
Excel.
-
Ability to identify key facts in an array of data. Ability to
recognize when pertinent facts are incorrect, missing, or require
supplementation or verification.
Desired Qualifications
-
Six months utilizing research skills: organizing, documenting,
and communicating results of research in a way that they can be understood,
interpreted, and acted upon by end-users.
-
Experience performing data analysis; using data and
information in a clear and rational thought process to assess and understand
issues, evaluate options, form accurate conclusions, and make decisions.

High attention to detail, with a focus on accuracy and
precision.
